Quotes and proposals do not guarantee availability of rental equipment. Equipment is reserved only upon receipt of a signed rental contract and the required deposit by credit card.

All remaining rental balances are due no later than 7 days before your event date. We will charge the credit card on file for this amount.

Failure to return rentals by the specified date constitutes theft and will result in criminal charges. The renter is responsible for all damages incurred to rental equipment during the rental period.

Pitching Tents CLE LLC will handle the full delivery and professional setup of your tent. We will coordinate your specific delivery and pickup days with you the week prior to your event.

The dates secured at time of booking are to hold your tent reservation in our system and prevent overbooking — they are not a guaranteed hourly appointment. A tentative delivery time will be provided the week of your event. Schedule adjustments may be made at the sole discretion of Pitching Tents CLE LLC.

Underground utilities: Our tent stakes are driven 35–46 inches into the ground. You are required to arrange a utility line locate and to notify us in advance of any underground sprinklers or other obstacles at the install site.

Weather-Related Cancellation or Postponement: If Pitching Tents CLE LLC determines in its sole discretion that weather conditions pose a safety risk to personnel, equipment, or guests — including but not limited to high winds (sustained winds exceeding 35 mph or gusts exceeding 50 mph), severe thunderstorms, lightning, hail, or other hazardous conditions — we reserve the right to:

• Delay or reschedule installation or pickup
• Remove or dismantle a tent already installed if conditions become dangerous
• Decline installation entirely if forecasted conditions are deemed unsafe

No Refunds for Weather: The non-refundable deposit and any payments made are not refundable due to adverse weather conditions, including rain, wind, extreme heat or cold, or any other weather event. Tents are designed to provide shelter, not to guarantee ideal weather. We strongly recommend clients purchase event weather insurance through a third-party provider.

Client Responsibility During High Winds: Clients must not alter, move, stake, or modify any tent structure. If high winds occur during your rental period, clients must immediately clear guests from under the tent and contact Pitching Tents CLE LLC. Do not attempt to dismantle the tent yourself.

Force Majeure: Pitching Tents CLE LLC shall not be liable for failure to deliver, install, or retrieve equipment caused by events beyond our reasonable control, including severe weather, acts of God, natural disasters, government restrictions, road closures, or other force majeure events. In such cases, we will work with clients to reschedule where possible, but no refunds will be issued.

Weather Monitoring: We monitor forecasts using professional weather services. Our weather-safety decisions are final and made in the interest of client, guest, and crew safety.

Delivery fees are subject to change following site examination. Deliveries are made to private properties or properties that do not require same-day teardown only.

The client is expected to be present at the time of delivery and must notify Pitching Tents CLE LLC in advance of any obstacles, including but not limited to: stairs, long distances the vehicle cannot navigate, narrow gates, or difficult terrain. If delivery is deemed overly complicated or is significantly delayed due to undisclosed obstacles, an additional $150 access fee will be charged.

Responsibility for all rental equipment remains with the client from the time of delivery until the time of pickup.

Upon delivery, the client agrees that all rental items are in satisfactory condition. Any damage noted upon receipt must be reported to our staff while they are still present on-site. Damage reported after staff departure will be assumed to have occurred during the rental period and will be the client's financial responsibility.

Pitching Tents CLE LLC delivers and professionally installs your tent. Tables and chairs are delivered but it is the sole responsibility of the client to set up, arrange, and break down tables and chairs for their event.

The following conditions must be met prior to our scheduled pickup. Failure to meet these requirements will result in additional fees charged to the card on file:

The client assumes full responsibility for the safe and proper use of all rented equipment during the rental period. Pitching Tents CLE LLC shall not be held liable for any injury, accident, property damage, or loss arising from the use, misuse, or malfunction of rental equipment during the client's rental period.

The client agrees to indemnify, defend, and hold harmless Pitching Tents CLE LLC, its owners, employees, and agents from and against any and all claims, damages, losses, costs, or expenses (including reasonable attorney fees) arising out of or in connection with the rental and use of equipment, except where caused by the gross negligence of Pitching Tents CLE LLC.

Pitching Tents CLE LLC is not responsible for any event cancellation, postponement, or guest inconvenience resulting from weather conditions, equipment availability delays caused by force majeure, or circumstances beyond our reasonable control.
